What a bid leveling spreadsheet does

Bid leveling puts every bid on the same scope so you compare like with like. Each row is a scope item, each column is a bidder, and an excluded item is a gap you must price before the totals mean anything. Most GCs build this in Excel by hand for every package.

Where hand-built spreadsheets go wrong

  • A blank cell is read as zero, so a bidder who left an item out looks cheaper.
  • Totals drift when someone adds a row and forgets to extend the SUM range.
  • Exclusions and qualifications live in the PDF, not the sheet, so they get missed.
  • Every new bid package means copying a file and cleaning out last job’s numbers.

How to level bids in this tool

  1. Add a row for each line item or scope division in your bid form.
  2. Add a column for each bidder and type their price per line.
  3. Mark any item a bidder excluded instead of leaving it blank.
  4. Compare totals knowing which bids are incomplete, then price the gaps before you award.

Level before you decide

The lowest total is only the low bid if every bidder priced the same scope. A bid that is $18,000 lower but excludes demolition and cleanup may cost more than the higher bid once you cover those items yourself. Leveling shows you that before you sign.

Frequently asked questions

Is a bid leveling spreadsheet the same as a bid tab?

They are closely related. A bid tab lists the prices; leveling also adjusts or flags each bidder’s scope so the comparison is fair.

Do I need Excel for this?

No. It runs in your browser. Enter the line items and bids and the totals update as you type.

How do I handle a bidder who left an item blank?

Treat it as an exclusion, not zero. Mark it excluded, ask the bidder to price it, or price it yourself and add it to their total.

Is the tool free?

Yes, free with no account. TrueBid Pro is $15/month and saves bid packages so you can reuse them on the next job.
